Easy Childcare Services, LLC is dedicated to providing safe, reliable, and convenient pickup and drop-off services for enrolled children. This policy ensures clarity in expectations, pricing, safety procedures, and parental responsibilities while fostering an efficient and secure transportation experience.  

Pickup & Drop-off Schedule

  • Parents/guardians will receive a set schedule outlining pickup and drop-off times. 

  • Schedule changes must be communicated at least 24 hours in advance, except in emergencies

  • Our staff strives for punctuality, but delays may occur due to traffic or weather.  

Authorized Individuals for Pickup

  • Children will only be released to parents/guardians or designated individuals listed on the Authorized Pickup Form. 

  • A valid photo ID (Driver’s License or State ID) must be presented for verification.  

  • If a new individual is picking up a child, written authorization from the parent/guardian is required in advance. 

Safety Procedures

  • All children must be properly secured in child safety seats per state regulations. 

  • Staff will escort children to and from the designated pickup/drop-off location.  

  • Parents must ensure children are ready at the scheduled pickup time to prevent delays.

  • Any safety concerns or incidents during transport will be reported to the parent/guardian immediately.   

Rates

1 to 10 miles: $1.50 per mile

Fees are calculated based on the total distance traveled.

Transportation Authorization Form

For the safety of your child, we require a signed Transportation Authorization Form before any trips can begin. This form confirms your approval for us to transport your child and includes all necessary emergency contact details.

Late Pickup & Drop-off Policy

  • A 10-minute grace period is allowed for unexpected delays.

  • Beyond 10 minutes, a late fee of $2 per additional minute will apply.

  • Consistently late pickups may result in suspension of transportation privileges.  

Absences & Cancellations

  • Parents must notify Easy Childcare Services, LLC at least 3 hours before the scheduled pickup/drop-off time if their child will not require service that day. 

  • Unexpected cancellations may result in a non-refundable fee to compensate for operational costs. 

Weather & Road Conditions

  • Services may be delayed or suspended due to severe weather (heavy rain, storms, snow, icy roads, etc.)

  • Parents will be notified immediately if schedule adjustments or cancellations are required.

  • Alternative transportation plans may be arranged when necessary. 

Special Accommodations

  • Parents must inform the service of any medical needs or disabilities requiring special accommodations.

  • Additional arrangements may be made to support children with unique requirements.

Refund Policy

  • Transportation fees are non-refundable unless Easy Childcare Services, LLC cancels the service.

  • If a family discontinues service, any unused prepaid mileage will not be refunded.

Liability & Insurance

  • Easy Childcare Services, LLC maintains appropriate liability insurance for transportation services.

  • Parents assume responsibility for ensuring their child is properly secured before departure. 

  • While staff prioritizes child safety, the service is not liable for unforeseen incidents beyond reasonable control. 

Emergency Procedures

  • In case of an emergency (vehicle breakdown, severe weather, medical issue), parents will be contacted immediately.

  • Alternative arrangements will be made when necessary to ensure child safety.

  •  If a child becomes ill or requires urgent care while in transit, they will be taken to a safe location while parents are contacted.  

Technology & Tracking

  •  If applicable, GPS tracking or real-time notifications will be available to parents for added security.

  • Updates on estimated arrival times and delays will be provided via text or email.
